Email is still the number one medium of communication in the modern workplace. However, managing emails can become a daunting task, particularly when you receive dozens or even hundreds of emails every day. If you're not careful, your inbox can quickly become overwhelming, and you may find yourself spending more time managing your email than doing actual work. Fortunately, there are several effective strategies you can use to manage your emails more efficiently and stay on top of your inbox.

1. Set Specific Times for Checking and Responding to Emails

One of the most effective strategies for managing emails is to set specific times for checking and responding to them. Instead of checking your inbox constantly throughout the day, set aside specific times, such as once every hour or twice a day. This will help you stay focused on your work and avoid getting distracted by new emails as they arrive.

When managing your emails, it's important to prioritize them based on their level of importance and urgency. You can use different criteria to prioritize your emails, such as the sender, the subject line, or the content of the email. You can also create tags/folders (do we mean categories here? Don’t we want to limit folders?) to store and find emails related to specific projects, clients, or topics more efficiently. Thus wasting less time finding something you know you have.

If you frequently send similar types of emails, such as responses to common questions or requests, consider using templates or canned responses. Most email software allows you to create and save templates or canned responses, which you can use to quickly respond to similar types of emails. This can save you time and effort and ensure your responses are consistent and professional.

5. Unsubscribe from Unnecessary Emails

One of the biggest challenges of managing emails is dealing with unwanted or unnecessary emails. To avoid cluttering your inbox, take some time to unsubscribe from email newsletters, promotional emails, or other types of emails you don't need or want (maybe add: those that are not providing value vs need/want). This will help you keep your inbox clean and free of distractions.

6. Use Keyboard Shortcuts

Using keyboard shortcuts can help you save time and work more efficiently when managing your emails. Most email software has a range of keyboard shortcuts that allow you to perform common tasks, such as deleting, forwarding, or replying to emails, without using the mouse. By learning and using these shortcuts, you can speed up your email management and reduce the time you spend on repetitive tasks.

7. Delegate or Delay Non-urgent Emails

Not all emails require an immediate response. If you receive emails that are not urgent or can be handled by someone else, consider delegating or delaying them. For example, you can forward the email to a colleague who is better suited to handle it or schedule a time to respond to it later. By delegating or delaying non-urgent emails, you can free up your time and focus on more important tasks.
